How to Automate Reorder Recommendations

How automated reordering actually works — from a calculated reorder point to a scheduled purchase-order draft — and what to look for in software.

A reorder alert that tells you a SKU is low still leaves the actual purchase order to build from scratch: the supplier, the quantity, the cost, typed in by hand. That gap between an alert and a finished order is where a lot of software marketed as "automated reordering" quietly stops.

This post covers the whole chain: how the recommendation gets calculated, and how it turns into a purchase order you can actually send. If you're still deciding whether automating any of this is worth it, that decision comes first; this post assumes you've made it.

What automation means here

"Automating reordering" is really two separate pieces of work, and software (and pricing) often splits along exactly this line:

  • The recommendation. Knowing what to reorder, how much, and by when: the detection layer, built on a continuously recalculated reorder point.
  • The document. Turning an approved recommendation into an actual purchase order a supplier can act on: the generation layer.

A tool that only does the first still leaves you building every PO by hand. A merchant researching "automate my reordering" usually wants both.

What to look for in reorder-automation software

  • Recalculates from actual sales velocity, not a number you typed in once and forgot about.
  • Accounts for each SKU's real supplier lead time, not one blanket assumption store-wide.
  • Lets you set (and override) safety stock per SKU rather than one flat buffer for everything.
  • Groups recommendations by supplier, so ten SKUs due from one supplier become one order.
  • Produces something you can actually send, a PDF or supplier email, not just a dashboard figure.
  • Syncs what's received back into Shopify, so the next recommendation is calculated against real stock.

Automating the recommendation

This is the detection layer: recalculating a reorder point from live sales data, ideally nightly, instead of leaving it as a number someone worked out once. Take the site's running example: "Cedar & Fig, 250g" sells 5 units a day today. If a slow month drops that to 3, or a seasonal push takes it to 9, a reorder point calculated once and never revisited stays wrong until someone notices and redoes the math by hand. A recommendation that recalculates the moment new sales data lands keeps the number honest automatically.

Demand forecasting with seasonality isn't a paid upgrade in every tool, and it's worth checking directly rather than assuming. Automating the purchase-order draft

  • Confirm your sales history goes back far enough to establish real velocity
  • Set each supplier's actual lead time from your last few purchase orders, not a guess
  • Set a safety-stock buffer per SKU, or accept the default and adjust after the first cycle
  • Check your plan actually includes purchase-order drafting if that's the layer you want
  • Review the first automated recommendation by hand before trusting the second one
  • Decide who approves a scheduled draft before it goes out
